The role

The Office Assistant has a key role as being the first person that many of our visitors will meet and so an excellent welcome is an essential part of what we are trying to convey for everyone. Therefore every role is key, and you will strongly reflect our core values of transparency, inclusion, excellence and respect. In addition providing the varied support that is required across the site, in particular supporting the site lead Director and also Office manager in ensuring the smooth running of the site

Key accountabilities
  • Management of the badges of access to the site (activation-deactivation) in direct relation with the human resources and Facilities
  • Give assistance for booking meeting room if necessary
  • Control and monitor the parking space allocation
  • Ensure all guests are well looked after and offered an excellent experience
  • Make sure of the good order and the cleanliness of the area
  • Liaise with the office manager in order to ensure that the necessary supplies are available in the building
  • Keep calm, be tactful and be diplomat in executing this role
  • Provide support to the office manager at key times and potentially deputising during absence
  • Work with HR to assist on any people aspects that need support – e.g. schedule actual and future employees for occupational health exams; support for organizing team events
  • Attend trainings on the usage of any relevant systems, as necessary
  • Send and distribute mail


Skills & experience
  • Mature experience in Receptionist duties, preferably in a significant corporate and technology environment;
  • Some experience in facilities management would be beneficial
  • Some experience in First Aid and safety training and a working knowledge of health and safety would also be helpful
  • A highly effective communicator who can build a relationship of trust with senior stakeholders and colleagues;
  • A self-starter who can work independently and is willing and able to will be needed to juggle many different responsibilities on a day-to-day basis;
  • An organised and effective problem solver and team player who uses their communication skills to involve and engage;
  • Exceptional attention to detail with demonstrated excellent judgement, professionalism and integrity
  • Have good English written and verbal capability, ideally other languages too
