RESPONSIBILITIES
• Keep the permanent liaison between the Managing Director and the department managers / managers;
• Monitor the continuity of correspondence
• Manage correspondence on criteria that allow effective identification and quick access to information
• Archive correspondence on criteria that allow effective identification and quick access to information;
• Centralize the information that comes in their attention, process them and present them to the General Director in clear and accessible forms
• Optimize the data collection activity
• Broadcast the information received from the Managing Director to the data subjects
• Establishes together with the Director General, the daily schedule of its activities;
• Notes the appointments of the Director General and monitors them;
• Provides rescheduling in case of need;
• Communicate to those involved the changes;
• Participates in working sessions chaired by the Director General, if the case;
• Redact the agenda and the minutes;
• Convene participants in company meetings;
• Organizing travel by booking accommodations and reservations needs as required
• Provides logistical support for visits received by company from Corporate or other BNPP subsidiaries in the world;
• Provides translation of documents into and out of English;
• Provides assistance to all expatriate personnel from the company in carrying out administrative activities (paid invoices, open bank account, etc.);
• Logistically and administratively assists in organizing different events (Board of Directors, etc.);
• Establish and maintain contact with different partners (eg coffee maker, travel provider, hotel and transport provider, etc.)
• Support in organize and maintain office common areas
• Perform general office clerk duties and errands
• Coordinates events, as necessary
• Maintain supply inventory
• Maintain office equipment, as needed
• Creates, maintains, and enters information into databases
• Perform any other provisions given immediate superior in achieving short-term strategies of the company, within legal limits.
REQUIREMENTS
• Higher education graduates with a Bachelor's degree;
• Previous experience in similar areas (office assistance, etc.)or legal department;
• Microsoft Excel- basic level
• Microsoft Power Point –minimum medium level
• Microsoft Word- minimum medium level
• Mandatory language: English – advanced level (written/spoken)
• Nice to have: French
• Excellent communication skills;
• Diplomacy;
• Ability to quickly acquire new knowledge
