Administration co-worker, Accounting department
We are currently looking for Administration co-worker, to join our team coordinated by Accounting & Reporting Manager, located in Pallady Store. Physical working location will be reception of IKEA Pallady Service Office.

YOUR ASSIGNMENT
Your tasks will include:
• Responsible for Contract archiving, Purchase Request and Invoice administration tasks, including managing all additional documents approval flow for recurrent expenses of all IKEA Romania units.
• Responsible for allocations of invoices in Document flow approval system to corresponding Cost Centre owner and investigation of “orphan” invoices.
• Supplier data base maintenance.
• Close collaboration with all departments heads for ensuring that monthly routine for invoicing approval flow is respected.
• Secure Cost center creation/user allocation – administrative super user for Job router system (or any future document flow system).
• Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
• Manage office administration routines through scheduling, raising office PR through iShop and review invoices related to the office supplies.
• Provide reception services (support visitors, receiving post and deliveries).
• Responsible for managing post and currier related services used by organization.
• Visitors safety booklet and registration system management.
• Close collaboration with Service Office Accounting and Finance department and with cost center owners from all RO units (Baneasa store, Pallady, Retail Logistic unit, Collection Points, E-commerce).

• You will have a ‘hands on approach’ and strong attention to detail.
• Strong interpersonal, communications, analytical, problem-solving, and organizational skills with a highly developed service focus.
• Ability to manage dead-line situation, working closely with the cost centre owners.
• Good organizational and time management skills.
• Ability to establish trustful relationships and commitments with co-workers across all levels of the organization.
• Foster cost consciousness.
• Excellent verbal and written communication skills in English.
• PC - Excel - advanced level skills.
• Availability to work overtime if needed during reporting/closing of the month periods.
